Sam's Club EDI Vendor Requirements: The Complete 2026 Guide

Everything ecommerce brands need to know about selling to Sam's Club via EDI — documents, compliance, and setup

April 10, 2026

Sam's Club is Walmart's membership warehouse division, with nearly 600 clubs in the United States and a rapidly growing ecommerce operation. Because Sam's Club shares much of its backend with Walmart, brands often assume the EDI process is identical. It is not. Sam's Club has its own vendor portal, its own ship-to locations, its own item setup workflow, and a compliance program that is just as strict as Walmart Retail Link.

For ecommerce brands that want high-volume bulk SKUs in front of Sam's Club members, mastering their EDI requirements is non-negotiable.

Required EDI Documents

Sam's Club uses ANSI X12 transactions through Walmart's Retail Link infrastructure but with separate trading partner IDs.

DocumentNamePurpose
850Purchase OrderSam's Club sends the order
855PO AcknowledgmentYou confirm line availability
856Advance Ship NoticePallet and carton details
810InvoiceMatched to PO and ASN
997Functional AcknowledgmentTechnical receipt
846Inventory AdviceRequired for certain DSV programs
860PO ChangeSam's Club modifies an existing PO

Sam's Club often ships in bulk pallet configurations. Your ASN must describe the full pallet-to-carton-to-item hierarchy.

Vendor Requirements

Sam's Club uses the OTIF (On Time In Full) program inherited from Walmart, but with separate thresholds for club distribution. Vendors are measured on:

  • Must Arrive By Date (MABD) compliance
  • Fill rate against the PO quantity
  • ASN accuracy and timeliness
  • GS1-128 pallet and carton label scan rates
  • Item setup accuracy in Item 360

Sam's Club targets 98 percent OTIF for most categories. Miss it and the fines start stacking.

Chargebacks and Risk

OTIF fines at Sam's Club are 3 percent of the cost of goods for non-compliant lines. The most common triggers:

  • Shipping early or late against MABD
  • Under-shipping a PO (fill rate miss)
  • ASN sent after the truck arrives
  • Pallet labels that do not scan
  • Invoice quantity does not match ASN

Brands that treat Sam's Club like a side channel to Walmart get burned fastest. The fines are real and they hit your remittance directly.

Common Setup Traps

Dual trading partner setup

You need separate EDI connections for Walmart and Sam's Club even though they share infrastructure. Vendors who try to reuse a single partner profile get rejected.

Pallet labeling

Sam's Club moves a lot of full pallets. Your 856 must describe pallet SSCCs, then cartons inside, then items inside cartons. Flat ASNs fail.

Item 360 setup

Item 360 is Walmart's content management system. If your items are not fully set up there with dimensions, weights, and images, your ASN will fail content validation even if the EDI is perfect.

Setup Process

  1. Get approved as a Sam's Club supplier through their supplier portal
  2. Receive EDI specifications and trading partner IDs
  3. Set up AS2 or VAN connection separate from Walmart if applicable
  4. Complete Item 360 setup for every SKU
  5. Run EDI test cycles: 850 in, 855, 856, 810 out
  6. Pass a test shipment to a Sam's Club DC
  7. Go live with production POs

Platform Compatibility

JayChris EDI plugs into any ecommerce or ERP backend — Shopify, WooCommerce, BigCommerce, NetSuite, or a custom API. Your team manages inventory and fulfillment in the tools they already use. EDI runs silently in the background.

Cost Comparison

Sam's Club is typically a premium tier at legacy EDI providers because of the OTIF and pallet label requirements. Expect $600 to $2,000 per month on SPS Commerce or TrueCommerce once you factor in mapping, labels, and chargeback monitoring.

With JayChris EDI it's $99/month + $0.25 per EDI document — all 28 retailers included, no per-retailer fees.
